Every now and then, a builder comes up with an idea that works so well, it takes the company to a whole new level. At On Point Custom Homes, that savvy move was converting to a paperless office. Yes, it saves trees, but it also saves headaches in every aspect of operations.

President John Leggett set out to implement an interactive computer system that could instantly track and cross-reference thousands of bits of job data. Timely communication is a constant challenge for a team hustling to meet a client’s move-in date, and particularly so at a company such as On Point that subs out most of its work. After spending about $25,000 and four months fine-tuning the new technology, Leggett says his office runs with flawless efficiency. “It’s not cheap, but it has quickly paid for itself by allowing us to keep down two head counts we would have had to have. Our payables process went from two days to four hours, and we have instant access when vendors call in.”

The technological upgrade empowers employees. Each is equipped with a BlackBerry and a laptop with remote access to the server, plus a portable scanner for streamlining change orders. In the office, workstations have dual screens—the better to cross-check plans, product selections, and cash flow. Vendor invoices are sent electronically to project managers for approval. The digital data also makes short work of estimating and bidding. An estimator’s Excel files are uploaded to Custom Builders USA (CB/USA), a consortium of vendors. “In our partnership with CB/USA, materials are automatically priced by five vendors,” Leggett explains. “We can specify type of framing lumber, monitor price adjustments, and view substitute products to get the best price. We can turn around estimates to clients within 24 hours.”

That transparency also appeals to clients, many of whom travel frequently and sign off on selections via On Point’s website. Not only does this innovation help the company live up to its name, it provides a reassuring measure of control in an uncertain era.
